Why Formstack findings sit in your tokens and webhooks, not the form builder

Formstack’s V2025 API authenticates every call with a Personal Access Token generated from the Formstack Administration console and sent as an Authorization Bearer header, optionally with an expiry set at creation. The token is tied to the user who generated it and inherits that user’s in-app permissions rather than carrying its own scope, so we test what every token’s owner can actually do inside the account and whether an integration is holding a token more privileged than it needs.

A Formstack webhook pushes submission data to an external URL in real time and supports a configurable payload format, HMAC signing and failure notifications. We test whether HMAC signing is actually turned on and verified by the receiving endpoint, not left available but unused, and how the endpoint behaves when a webhook is retried after a failure.

A parent Formstack account can manage subaccounts, and Formstack’s own documentation notes that a subaccount record includes details such as SMTP credentials. Separately, Portals give a branded hub for a curated set of forms with their own portal users, managed independently of the main account’s users. We test whether a subaccount’s credentials and a portal’s user list stay confined to that subaccount or portal, or whether either can be reached from outside it.

A token inherits the permissions of the Formstack user who created it rather than carrying its own scope. We test what each token in use can actually do against what the integration calling it needs.

A Personal Access Token can be created with an optional expiry. We test what happens to an integration when a token expires or is revoked, and whether an old token is still accepted anywhere.

Webhooks support HMAC signing of the payload they send. We test whether the receiving endpoint actually verifies that signature before acting on the data, rather than trusting any request that arrives at the URL.

Formstack’s webhook configuration includes failure notifications for deliveries that do not succeed. We test whether a retried webhook call can be processed more than once by the receiving system.

Folders organise forms with a single level of nesting. We test whether a form’s folder placement is enforced as an access boundary or is purely organisational.

What access do you need to test our Formstack integration?

A Personal Access Token created for the engagement, scoped to a user with the permissions your integration actually uses, plus access to the endpoint receiving your webhooks. We do not need your account owner’s own login.

Does testing touch live form submission data?

We work with test forms and submissions wherever your setup allows it, and agree with you during scoping how to handle anything that can only be tested against real submission data.

Do you test Formstack’s own platform or our integration?

Your integration: the tokens, webhooks, subaccounts and portals your team configured. Formstack’s own hosted platform is not something we test.

What is out of scope?

Formstack’s underlying hosting and infrastructure, and any subaccount or portal you have not included in the agreed scope.

How long does a Formstack integration test take?
